Your role @Chanel :
In this role, you will serve as a team coordinator for the Insight and Foresight team, offering support on various aspects such as administrative support to the 3 Heads of Insight and Foresight, office management, budget management, roadmap updating.
What impact you can create at Chanel :
Provide support to the 3 Heads of Insight and Foresight, and more broadly to the team through :

Administrative support to the 3 Heads :
- Manage and adapt a busy agenda, understanding the priorities (sometimes it means reorganising time and space at the last minute)
- Make travel arrangements according to calendar; observe context-related travel measures in real time (e.g. COVID, visas, ESTA, …) & company expenses policy. team trips abroad (meetings, etc.)
- Expenses: Maintain diligent electronic record of receipts, process expenses in a timely manner and according to company policy.
- Work in close partnership with the CEO office assistants (especially Chief of Staff and Global Head of Insight and Foresight’s assistant) and more generally the assistants’ community and internal stakeholders

Office management & team support
- Contribute to the organisation of learning expeditions internationally (in coordination with regional teams)
- Take notes during our main team meetings and make synthetic memos
- Take care of our open space in Paris, and make sure our team meetings are great moments of gathering (space, food and beverage, etc.)
- Manage team documentation
- Proactively manage the organisation of our team life: afterworks, seminars (travels, hotels, food, …)

Budget management:
- Administrative management of the budget, in coordination with our financial counterpart
- Manage invoices and payments to suppliers via our Basware tool

Project roadmap and internal governance
- Be connected with internal stakeholders to anticipate and retroplan from main Corporate meetings (MTP, LT meetings, FLC, RI,…)
- Keep the roadmap of each practice of Insight and Foresight up to date at all times
- An approachable, kind and service-orientated demeanour
- Great attention to detail (in the what and the how)
- Great organisation and coordinating skills
- Strong communication skills including verbal and written
- Fluent in French and English
- Ability to prioritise workload, requests and spontaneous scenarios
- Demonstration of being a team-player but also able to work independently
